Summary:
The Studio Operations Manager is responsible for the overall studio environment for Mercury. They oversee the daily office operations across the studio while maintaining organizational efficiency and safety throughout the building space we lease. They are responsible for facilities operations, liaison with Regional and contractors to ensure the studio runs in a smooth and efficient manner. They are the point person for anyone visiting Mercury's studio, and they are responsible for ensuring a positive experience for employees, guests, partners and clients. The Office Manager is a key member and works closely with Talent Management, Production and Department Heads to promote our culture and increase engagement.
Role and Responsibilities:
Studio Operations:
· Identify and implement areas for improvement and innovation to our leased space based on current and future needs
· Partner with VP of Pipeline & Studio Operations, Senior Management, Production and Talent Management regarding internal relations and building operations; oversee adherence to office policies and procedures; ensure security, integrity, and confidentiality of sensitive information, onboarding and off boarding of staff and contractors
· Assisting in Executive requests such as travel plans and meeting bookings
· Experience with Project Management
· Coordinate studio design, construction, installation and furnishing projects; liaise with contractors and service providers to schedule, equip, and implement projects through various development stages; monitor progress, identify deficiencies, address areas for improvement and consolidation projects.
· Lead workplace safety and security as Joint Health and Safety Committee Chair and Emergency Warden; maintain up to date Standard First Aid, CPR/ AED training and JHSC Certification; monitor First Aid supplies and equipment; perform studio safety audits; implement best practices, protocols and procedures to protect the health and safety of all employees and guests
· Respond to 24 hr. emergency and security concerns; engage resolution with Regional Group and VP of Pipeline & Studio Operations, and IT Manager; monitor online security system portal; escalate concerns to Leadership Team as needed
· Understand and ensure compliance with Regional Group lease terms and conditions; review cleaning and maintenance concerns
· Address staff questions, complaints, and concerns with respect to workplace operations; respond to all concerns in a timely manner with viable solutions; escalate to Leadership Team as necessary
· Oversee office inventory for stationery, confectionary, and mailing/shipping supplies
· Collect, review, and process invoices for all office vendors managed by the Office Manager including FedEx, Canada Post Small Business Solutions, Canteen Canada, Cintas, Rogers Wireless, HTD, Cannon Printing, Konica Minolta, DataShred, Nua Office Furnishings, Access Storage, Dymon Storage, Staples Preferred, and Costco Business; submit approved invoices to Corporate Controller and Accounts Receivable Administrator; engage with potential new vendors for office services and supplies; evaluate for workplace integration
· Oversee and supervise the responsibilities of the Studio Assistant and Operational Assistant, ensuring coverage for reception, break room, studio facilities, etc.; delegate tasks, manage productivity, conduct performance coaching and provide supportive leadership - if this position is not filled it is the responsibility of the Operations Manager.
· Attend meetings related to studio operations, administration, and keep the Leadership Team informed about studio related topics
Site Representative & Events:
· Is the lead representative for all studio guest visits; coordinate the building access, parking, boardrooms and/ or conference room, equipment, catering, and NDA/ Media Release, Formal Letter of Invitation needs
· Lead the planning, coordination, and execution of onsite Mercury company events, including but not limited to Life Drawing, seasonal parties, and Production events; secure rental of the Regional Group Qualicum Center courtyard and/ or conference rooms, required insurance coverage, and liquor licenses when needed for internal events
· Responsible for site communication and distributing operational and event related information and updates for the Weekly Wrap- Up email; keep staff well informed about important site-wide information using appropriate communication channels
· Oversee the on-boarding and off-boarding processes to ensure overall compliance and thoroughness with all aspects of the program;
· Manage the studio security, parking, and campus amenities including but not limited to updating Angus Anywhere, Feenics, and Impark portals, registering building access cards, assigning parking tags, canceling/ deactivating lost cards, issuing replacement fees, recording operational assets on BHR and On/Off Boarding Forms
· Supporting new hire orientation by providing studio tours and addressing any questions
· Support Mercury Filmworks Green Initiatives as a Green Screen Ambassador; encourage employees to participate in environmentally friendly behaviours and attitudes in studio
· At all times work in the best interests of the company; maintain highest degree of discretion when dealing with employees; promote and where necessary enforce confidentiality and the security of the company
