The Central Data Management Coordinator provides execution support to the merchant function to ensure an effective flow of merchandise: "right product, right time and right place". The Coordinator works in tandem with the Merchant Team to ensure Sku and Vendor data is validated prior to system entry in an accurate and timely manner.

Specific responsibilities include (but are not limited to) the following:

  • Validate all incoming Merchant Vendor Terms Card (VTC) terms for accuracy and adherence to company standards
  • Validate all incoming GNFR (STC) agreements for accuracy and adherence to company standards
  • Ensure vendors and buyers have reviewed and discussed Supplier Code of Conduct (SCoC) prior to sign-off
  • Set Up of Vendor Terms Card information into merchandise system
  • Set Up of GNFR Agreement information into merchandise system.
  • Perform daily self audits to ensure data entry accuracy for VTCs and GNFR Agreements
  • Perform daily peer validations and weekly SAP audit summary
  • Prepare weekly reporting on VTC information & status
  • Act as subject matter expert for SAP Vendor Master
  • Provide VTC training sessions and documentation
  • Maintain archive for all VTCs and GNFR Agreements
  • Responsible for verifying accuracy of data elements against the purchase orders and vendor order confirmations
  • Collaborate with the buyer on pre purchase order adjustments prior to upload into SAP
  • Approve purchase Order upload upon accurate validation
  • Collaborate with Merchant Team on PO Bypassed validation report to ensure prompt resolution
  • First line support to Merchant Team on Vendor/Supplier related accuracy issues
  • Track and report weekly sku validation results
  • Develop training/process documentation as required
  • Conduct regular training sessions for new hires
  • Assist with systems development/modification, testing and user documentation
  • Identify process improvement opportunities and recommend solutions
  • Comply with all Health & Safety policies and requirements
  • Provide Ad-hoc reporting
  • Participate in special projects
  • Upholding highest standards of professionalism when interacting with all levels of the organization
  • Maintaining composure when dealing with potential challenges is essential
  • Perform other duties, as assigned

·The ideal candidate:

  • Post-secondary degree in a related field or equivalent work experience
  • 2+ years of related work experience, preferably in a retail organization
  • Professional and mature communicator who is able to represent the Holt Renfrew brand to vendors
  • Proven analytical & technical skills with advanced knowledge of Excel, Word, and Outlook
  • Strong attention to detail with accuracy
  • Demonstrated leadership and influencing skills with the ability to get things done
  • Excellent interpersonal skills; a team player who is able to act as both a leader and an individual contributor as required
  • Confident and effective communication (written & verbal) and interpersonal skills
  • Is adaptable and comfortable with ambiguity and change
  • Highly service-oriented with exceptional organizational and follow up skills
  • Passionate about fashion and luxury retailing
  • SAP knowledge is preferred
  • Ensure compliance with privacy policies, regulations, and cyber security measures.
